ABOUT THE ROLE:
We are currently recruiting for motivated, reliable and focused Executive Assistant to join our team based in the London Area.
Job Type: Permanent - Full Time.
Salary: up to £28,000 depending on experience
Reporting to the directly to the Managing Director, you will be responsible for providing timely, efficient and proactive admin support to the MD as well as support and promote the brand and co-ordinate with Business Development, Operations, Finance, Service Desk, HR and IT teams to build and deliver brand awareness initiatives, thereby ensuring that our customers have a better day every day.
Your responsibilities and Key Areas of work may include:
-Full diary management for the Managing Director, including co-ordinate diaries, schedule appointments and manage the schedule for regular meetings, and provide support as directed to other board members so their time is managed for maximum effectiveness
-Proactively screen and deal with calls and other correspondences professionally and responsibly
-Booking travel and accommodation in accordance with diary requirements, efficiently handling any last-minute requests / changes
-Arranging both internal and external meetings, including audio / video calls
-Completing and compiling routine reports, including creating and editing excel business documents and PowerPoint presentations
-Completing administrative duties to minimise the activities completed by Board team members
-Attend meetings, including client meetings, as required and be responsible for minute taking of meetings
-Organising and co-ordinating events, including dinners and lunches, as well as Company-wide events
-Handling confidential information and relying on a strict need to know basis
-Co-ordinate with internal Tenon fm teams to create eye-catching content and posts to promote Tenon UK across social media platforms
-Manage the Tenon fm social media engagement strategy across LinkedIn, Facebook, Instagram and beyond
-Create and maintain an annual marketing activity plan to engage with team members, customers, suppliers and other stakeholders, using social media, online communication, blogs and press releases
-Work closely with the Tenon India marketing team and Managing Director to ensure that all design and written content is produced to a high standard and in accordance with Tenon brand guidelines
-Completing research requests, including identify new marketing / promotional opportunities, client research
-Seek new ways to reach target audiences
-Follow a tight schedule of posts, to hit targets and grow audiences, reach and engagement across the targeted platforms.
-Working with the HR Director to co-ordinate, produce and distribute internal Company newsletter, in line with the Tennon fm brand
-Manage and develop excellent relationships with internal colleagues and external clients, suppliers and other partners
-Preparation of regular and ad-hoc reports / projects as required by the client and / or business and comply with any reasonable requests made by a Board member
Key Skills/ About You:
-Proven experience of working Executive Assistant / PA in a customer-facing, service-oriented environment and where competing demands needed to be managed
-A high-level understanding of social media platforms from a business perspective, such as LinkedIn, Instagram, Facebook, TikTok, Twitter, Snapchat and Pinterest and a passion for creating and delivering campaigns
-Excellent verbal and written communication skills, with the ability to confidently and credibly engage with clients, colleagues and other external partners and not afraid to ask for information, when required
-Excellent IT skills, including Microsoft Office suite, including Outlook, Word, Excel and Sharepoint and have the ability to produce and edit presentations
-Have the ability to use analytical tools to evaluate campaign performance and provide actionable insights and feedback
-Proven record of being responsive and innovative
-Self-motivated with the ability to work independently and as part of a team
-Be flexible and have the ability to take ownership of queries and see them through to resolution
-Excellent time management skills
-Highly organised, with the ability to prioritise and manage multiple tasks simultaneously and meet deadlines
-Strong attention to detail and a high level of focus to exceed client expectations
-Be positive and enthusiastic
-Maintain professional internal and external relationships that meet Company core values
