About the Role

Tenon FM is looking for an experienced and commercially focused Bid Writer to join our Business Development team in Uxbridge.

This is a key role within our growth function, responsible for creating compelling, persuasive and high-quality tender submissions that help us win new business and retain existing contracts.

We are specifically looking for an experienced bid professional with a minimum of two years` bid-writing experience within the Facilities Management sector.

You will work closely with Business Development, Operations and subject-matter experts across the business to understand client requirements, develop winning themes and translate complex operational and commercial information into clear, credible and persuasive proposals.

We don`t simply want someone who can write well. We are looking for someone who understands how FM bids are won.

You`ll need to dissect tender questions, understand evaluation criteria, identify what information and evidence is required, challenge contributors where necessary and create responses that clearly demonstrate why Tenon FM is the right partner for the client.

You`ll also be confident using AI and modern digital tools to enhance the bid-writing process, while retaining the professional judgement, critical thinking and human oversight needed to ensure every submission is accurate, authentic and tailored to the client.

What You`ll Be Doing

As our Bid Writer, you will support the full bid lifecycle from initial opportunity through to final submission and post-tender presentations.

Your responsibilities will include:

Producing high-quality, persuasive and client-focused tender responses across a range of Facilities Management opportunities.
Completing RFIs, PQQs/SQs, ITTs, RFQs, framework submissions and other procurement exercises accurately and within defined deadlines.
Working with the Business Development team to understand each opportunity, agree bid strategy and identify key win themes, differentiators and client priorities.
Analysing tender documentation and dissecting individual questions to understand evaluation criteria, scoring requirements and exactly what the client is asking for.
Developing clear answer plans designed to maximise the quality and relevance of information obtained from contributors.
Working with operational, commercial and technical subject-matter experts to extract the information and evidence needed to build credible responses.
Transforming complex operational and technical information into concise, engaging and persuasive written content.
Drafting responses from first principles where required and tailoring existing content appropriately rather than relying on generic or templated answers.
Reviewing, challenging, rewriting and editing contributions from stakeholders to produce a consistent and compelling final submission.
Ensuring bids clearly communicate Tenon FM`s capabilities, service methodology, innovation, added value and overall proposition.
Proofreading and quality-checking submissions for accuracy, compliance, grammar, consistency, presentation and tone.
Managing multiple bids and competing priorities while consistently meeting fixed submission deadlines.
Creating high-quality presentations and supporting post-tender presentations, clarification meetings and negotiations.
Producing and maintaining case studies, service methodologies, data sheets and supporting evidence.
Supporting the development and ongoing maintenance of a comprehensive bid library, ensuring reusable content remains accurate, relevant and current.
Contributing to post-bid reviews and identifying opportunities to continuously improve the quality and effectiveness of future submissions.
Maintaining appropriate records of tenders, submissions and supporting documentation.
Adhering to Company policies, procedures, values and business ethics requirements.
AI & Digital Capability

We want someone who is comfortable working with the tools available to a modern Bid Writer.

You should be confident using AI tools appropriately and responsibly to improve efficiency and quality throughout the bid process. This could include:

supporting research and initial content development;
analysing or summarising complex tender information;
developing response structures and answer plans;
supporting drafting and rewriting;
testing alternative messaging and approaches;
identifying gaps or weaknesses within responses;
improving clarity and readability; and
supporting quality assurance and consistency.

Crucially, you will understand that AI supports good bid writing, it does not replace it.

You`ll be expected to critically review AI-assisted content, verify facts, maintain confidentiality, remove generic language and ensure the final submission accurately reflects Tenon FM`s capabilities and is genuinely tailored to the prospective client.

What We`re Looking For
Essential

To be considered for this position, you will need:

A minimum of two years` professional bid-writing experience.
Bid-writing experience specifically within the Facilities Management sector.
Demonstrable experience producing tenders and proposals for outsourced FM/service contracts.
Experience responding to PQQs/SQs, ITTs, RFIs, RFQs, frameworks or comparable formal procurement exercises.
Excellent professional writing skills with the ability to communicate complex ideas clearly and persuasively.
A strong understanding of bid processes and what makes a tender response competitive.
The ability to analyse tender questions, evaluation criteria and scoring requirements.
Excellent editing, proofreading and quality-assurance skills.
Meticulous attention to detail.
Strong stakeholder-management skills and the confidence to obtain information from colleagues at all levels of the organisation.
The confidence to challenge incomplete or weak content constructively and ask the right questions when further information is required.
Strong organisation and time-management skills with the ability to manage multiple deadlines simultaneously.
The ability to work effectively under pressure without compromising quality.
Strong Microsoft Office skills, particularly Word and PowerPoint.
Confidence using AI tools effectively and responsibly within a professional bid-writing environment.
Strong commercial awareness and a clear understanding that the purpose of the bid function is ultimately to help the business win work.

The Person

You`ll be someone who is naturally curious and wants to understand how the service actually works before trying to write about it.

You`ll be comfortable asking questions, chasing information and challenging content when something doesn`t adequately answer the client`s requirement.

You`ll combine creativity with attention to detail, be commercially aware and understand the difference between an answer that is technically compliant and one that is genuinely compelling.

Most importantly, you`ll take ownership of the quality of your submissions and be motivated by producing bids that give Tenon FM the strongest possible chance of winning.
